Minimum Requirements. Applicants must meet the following requirements to be considered for this SAPS Secretary vacancy:
Must be a South African citizen
Must be in possession of a Senior Certificate (Grade 12) or National Certificate (Vocational) recorded on the National Learner Record Database (NQF Level 4)
Proficiency in at least two official languages, one of which must be English
Computer literacy, including knowledge of standard office applications
Good interpersonal, verbal, and written communication skills
Strong organisational and administrative skills
Relevant or appropriate experience in a secretarial or administrative role
A tertiary qualification or completed developmental courses will be an added advantage
Must have no previous criminal convictions or pending cases
Applicants must be willing to undergo security vetting, including fingerprint verification
Key Duties and Responsibilities
The successful candidate will be responsible for providing comprehensive secretarial and administrative support within the relevant DPCI office. Key responsibilities include:
- Providing full secretarial support services to the office
- Typing and preparing reports, letters, memoranda, and official correspondence
- Monitoring the flow of documents to and from the office
- Managing the diary of the Head of Office, including scheduling internal and external meetings
- Coordinating travel arrangements, accommodation, subsistence allowances, and processing claims
Maintaining an updated filing system - Receiving, recording, and distributing correspondence, circulars, and official documents
- Keeping a register of all incoming and outgoing mail
- Handling routine correspondence and managing emails and faxes
- Answering and making telephone calls on behalf of the Head of Office and taking messages professionally
- Providing administrative support during meetings, workshops, and official events
Handling confidential and sensitive documents - Operating standard office equipment such as computers, printers, fax machines, and photocopiers
- Managing office inventory and supplies
Hosting and serving refreshments during meetings when required - Willingness to work extended hours when operational needs require
